About 2 weeks to a month before your event, I will be in touch with your planner and venue to make sure they have everything they need from me. I will also confirm things like timeline, setup, parking & load in directions, etc. If I am working with your DJ on something like first dance serenades, I will also be in touch with them to coordinate those details.
We prioritize flexibility and understanding when it comes to your unique circumstances. By booking musicians for both the ceremony and cocktail hour, you can enjoy some leeway with your ceremony timing. If you decide you want musicians to stay longer than the contracted time, please be prepared to settle any additional time at that moment with cash or an electronic payment method such as Venmo, Zelle, or PayPal.
Shade: To ensure optimal performance, our music equipment need to be in a shaded spot. If your venue doesn't have a shaded spot, I have a cabana available to rent. You may also consider checking with your venue or a tent company for additional options.
Rain Plans:
If you have purchased an Audio Package, we kindly ask that you decide on a rain plan at least one hour before the event music is set to begin. This will allow ample time for proper setup to ensure quality sound.
If you have NOT purchased an Audio Package, we kindly ask that you decide on a rain plan at least 20 minutes before the start of event music.
Travel: For bookings 4+ hours away and/or occur later in the evening, you may need to provide hotel room(s) for the musicians.
Meals: If you require the musicians for longer than 4 hours, a vendor meal is appropriate and greatly appreciated.
Seating: Make sure to include armless chairs for each musician (for each setup location) in your chair count. If you need the chairs to be moved from one location to the next, make sure there is someone there to assist the musicians for a smooth transition.
Audio Enginner / Assitant: If your setup needs are more intricate, we may need to include an assistant or audio engineer to ensure things run smoothly.
For events where musicians perform for two or more consecutive hours, paid breaks will be necessary. Typically, musicians play 45-60 minute sets followed by 10-15 minute breaks.
If you have an audio package booked, we can provide a playlist during these breaks. Breaks can be scheduled to align with your event activities, such as speeches or toasts.
